About the role

An opportunity has arisen to join the Information Governance team at West Northamptonshire Council. We are looking for an enthusiastic individual to work alongside our new Corporate Records Manager as part of a new records management team. The successful candidate will have a passion for change, be methodical in their approach and have attention to detail.

This new and exciting role is an excellent opportunity to expand your knowledge of records management and gain experience in a constantly evolving work environment. As well as bringing your own knowledge and experience to the team, you will benefit from working alongside experienced Information Governance (IG) professionals in Data Protection helping to deliver high quality advice and support to employees of the Council and Freedom of Information to deliver timely and complaint request responses to members of the public.

What will you be doing?

A major part of the role will be supporting the Corporate Records Manager (CRM) deliver efficiency savings from document storage improvements and reductions, promoting electronic document storage and supporting Information Asset Owners (IAO’s). You will be responsible for the day-to-day management of physical records held both on premises and with an external document storage provider, supporting services with file requests, transfers and destruction as well as ensuring invoices are paid on time.

Other main duties include condensing, transferring and consolidating document repositories from building closures, archive management, back scanning, management of document destruction, maintaining the corporate retention schedule and providing retention and destruction advice to employees.

In addition, the role includes providing support when necessary to the wider information governance team to ensure institutional compliance with information legislation, project support for the CRM, setting meetings and agendas, attendee management and minute taking for the IG team and maintenance of the IG service Intranet pages.

You will need a good working knowledge of the requirements of records management and an understanding of lifecycle management. It would also be desirable to have knowledge or experience of the Freedom of Information Act to support the wider IG team respond to requests at peak times.

About you

The Information Governance Team is led by Council's Data Protection Officer (DPO) who has 20 years' experience working and promoting document management and data compliance. IG is part of Legal and Democratic Services within the Corporate Services Directorate.

As DPO I support everyone in the team to be self-motivated at all times and encourage challenge and innovation to drive the team to be more than the sum of their parts.

The council is in the process of implementing a new pay structure and terms and conditions which will be applicable to this role.  The outcome could result in a future variation to the advertised salary, and this will be discussed at interview.
